2004 Juneteenth Festival CommitteesGospel Festival Plan Gospel Festival which will be held at a community church prior to the Juneteenth Festival Weekend. The committee will coordinate participants to include groups, singers, musicians, dancers and others that are focused on praise and worship.
Entertainment Has overall responsibility of coordinating the Festival in the park Friday and Saturday. The committee schedules acts, contracts and coordinates technical services such as lights, sound and stage/backstage area security. The committee also directs the programs. The stage manager will have overall responsibility for running the program and coordinating acts for both days. The stage manager will be responsible to the entertainment committee.
Publicity Directs the effort to get the word out on the festival and coordinates with media for press releases and media coverage. The committee should compile a list of media contacts with submission deadlines, circulation and required formats. Committee can also prepare a media plan. Publicity should include billboards, newsletters and information to groups such as churches, the black chamber, Urban League, NAACP and others.
Fundraising/Grants Has primary responsibility for coordinating grant/funding requests to obtain monies to support the festival. The committee can contact previous supporters and prepare a list of potential supporters with input from all festival committee members. Committee is also responsible for follow-up thank-you letters to donors.
Vendors/Booths Assigns and schedules booths, collects monies, coordinates with city as needed, and coordinates with vendors to insure that they have proper certification for food handling, and to ensure compliance with requirements.
Security Coordinates for security for the festival and for other activities as needed, to include coordination with the city for barriers. A general security plan should be submitted to and approved by the committee NLT January 31, 2004.
Insurance (Finance) Obtain most cost effective and comprehensive policy for the festival. Make sure all activities/events are properly covered.
Freedom RunCoordinates the Annual Freedom run to include scheduling date, location and support staff. Date and location should be determined as soon as possible to help with publicity.
Basketball TournamentCoordinates the Juneteenth basketball tournament(s) to include scheduling dates, locations and support staff. Dates and locations should be determined as soon as possible to help with publicity.
FinancesMaintains records on income and expenses for all festival activities. Review budgets from all committees to determine validity and feasibility. Projected budgets should be submitted to the treasurer NLT October 31, 2003. Final budgets should be submitted NLT March 1, 2004.
Commemorative ProgramCoordinate and produce the commemorative program. All committees should try to have their program input (committee members, special notes, festival supporters and ads in to the Program committee two to three weeks prior to the festival.
Meeting CoordinationAssists the committee chairman in scheduling meetings to include telephone calling and sending out meeting reminders. Also makes sure that space is scheduled and available at Center.
Community Service Vendors (Vendors/booths) Coordinate for festival participants that provide community services such as blood pressure or cholesterol checks, youth programs (Boys and Girls Clubs, Kids Care), etc.
Outreach (Publicity)We want to get other members of the Tucson community, especially the African American community involved in Juneteenth to include churches, fraternities and sororities, Davis Monthan, the Black Chamber, NAACP, Tucson Urban League, Pima College, University of Arizona, MLK committee, human relations committee, etc. This year we need to make an effort to include Sierra Vista, Phoenix, Casa Grande and other surrounding areas.
EducationPlan activities or presentations to educate community, especially young people about Juneteenth and awareness for freedom and civil rights. Would include, Mr. and Ms. Juneteenth and essay contests. This committee should be in contact with African American culture clubs at area schools.
